to An Acrobat (PDF) Document

Introduction
NOTE: Although this Web page
deals specifically with installing and exporting the Energy Statistics
Handbook into PDF, see Exporting Other Documents into
PDF for converting documents into PDF from applications other than
Envoy.
What is Envoy?
Envoy is software package with electronic publishing capabilities.
Does That Mean Envoy is Just Like Adobe Acrobat?
The Envoy software is similar to Adobe Acrobat in the following ways:

Envoy can be used to publish electronic documents for the purpose of online
viewing.
-
Envoy is used to exchange, distribute, and consume portable electronic
documents.
-
This can be done across different computers and operating systems, independent
of the application or fonts used to create the original file.
Envoy is different than Adobe Acrobat in the following ways:
-
Adobe Acrobat is associated with Adobe, Envoy is associated with Corel.

Acrobat files have PDF extensions, Envoy files have EXE extensions.
-
PDF files can be viewed using the Adobe Acrobat Reader, Envoy files can
be viewed using the Envoy Runtime Viewer.

The Adobe Acrobat Reader must be downloaded and installed onto your workstation,
the Envoy Runtime Viewer does not need to be downloaded nor installed.
The Envoy Runtime Viewer comes embedded within the file which you would
like to view.

Because the Runtime Viewer
is embedded within the document, the Envoy document has significantly increased
file size.
What Software Do I Need to Convert an Envoy
Document into PDF Format?
In order to export any document into PDF format you will need
Adobe
Acrobat 5.0 installed on your workstation. This is not the same software
as the Adobe Acrobat Reader. Adobe Acrobat 5.0 is a much
larger software package that provides many functions unavailable in the
Reader. Unlike the Reader,
Adobe Acrobat 5.0 cannot be downloaded
for free.

How to Install the Energy
Statistics Handbook (ESH)
| 1. |
Follow the instructions on the ESH disk or continue with steps 2 through
8 described below. |
| 2. |
Close all running applications. Insert the ESH disk (Installation #1)
into A: drive. |
| 3. |
In the Start menu, select File; then Run and select
from the drop down menu (or manually enter) a:\setup. |
 
| 4. |
A window will appear asking you where you would like to save the ESH
files. The default setting is for C:\ESH. Click OK (unless
you have a different preference). |
| 5. |
A window will appear asking you to insert the second disk (Installation
#2). Eject the first disk, insert the second, then click OK. |
| 6. |
A window will appear asking you to select a Program Group. This
refers to the name that will be displayed when you select Start
-> Programs. The default name is Energy Handbook. Click
OK. |
| 7. |
A window will appear telling you that the ESH has been successfully
installed. Click OK. |
| 8. |
A window will appear showing you the files that have been installed.
Click on HANDB to start the program. You can also close this window
and select Start -> Programs -> Energy Handbook ->
HANDB
to run the ESH. |

Select Start -> Programs -> Energy Handbook ->

Select English (despite this selection the document will appear
in both English and French simultaneously). Scroll to the bottom of the
license until Accept Terms is highlighted, and select Accept
Terms. |

In the Energy Handbook Menu Selection window, select View
Energy Statistics Handbook Publication. |

The main window provides icons that let you work with your data in
various ways. |

When you are finished viewing your document, save it, close the Runtime
Viewer and in the Energy Handbook Menu Selection, select Exit. |
Exporting Envoy Documents into
PDF
NOTE: The developers
of Envoy have acknowledged that there is a problem with their software.
When trying to print a large number of pages in one batch, the system overloads
and fails to complete the print job. This includes print jobs used to export
the document into PDF. As soon as the problem is fixed in Envoy, the ESH
will be updated to reflect the revised version. In the meantime, it is
recommended that print runs be kept to about 50 pages at a time. For example,
if you wish to print pages 1-100, it is advised that you print pages 1-50
and then pages 51-100. If a problem occurs during printing, try again with
fewer pages.

Select Start -> Programs -> Energy Handbook ->
HANDB
to run the ESH. |

Select English, scroll to the bottom of the license until Accept
Terms is highlighted, and select Accept Terms. |

In the Energy Handbook Menu Selection window, select View
Energy Statistics Handbook Publication. |
| 4. |
Select File; Print; and Setup. Select Specific
Printer and highlight Acrobat Distiller from the drop down menu.
Select OK.

Select File; Print, and select Pages and type
in 1 to 50 in the space provided. Select OK.

When the Save PDF File As window appears;
-
Change the highlighted file path to the destination for your PDF file.
For example C:\ESH\HANDB1-50.pdf

It's a good idea to include in the file name the selection of pages which
you are printing so that you can easily distinguish between them.

Select OK.
-
If you didn't change the path, the file should appear as a desktop icon.
-
Note that the new PDF file will open automatically once the Distiller has
completed printing the document.

Continue printing the rest of the file 50 pages at a time.

Remember to start at page 51 if you ended the last at 50.

As well, remember to change the name of the destination file, for example
C:\ESH\HANDB51-100.pdf
for the second batch, and so on.

Open Adobe 5.0 and Open the PDF file that you just created that contains
the first 50 pages. |
| 9. |
From the main menu;
-
Select Document -> Insert Pages.
-
Select the file containing the next 50 pages.
-
Click on Select.

In the Insert Pages Window;
-
For Location select After.
-
For Page select Last.
-
Select OK.

Continue this for every file until all have been inserted into the
one document. |

From the main menu;
-
Select File -> Save As, and rename this file.
-
This file should contain all of the pages from the original Envoy document
in exactly the same order. You may want to double check this.

You may wish to delete the PDF documents containing the partial pages
of the original document, as they can take up a lot of space. |
The end product will be a PDF document with all pages in the
same order as in the original Envoy document. Unfortunately, the distiller
can lose macros, formulas, or special properties from the original document.
In the case of the Energy statistics Handbook, the original Envoy document
contained links that are now missing in the PDF document. To see how to

Exporting Other Documents into
PDF
NOTE: The following instructions
can be applied to documents in any application as long as the Acrobat
distiller is installed in the application. Upon installation of Adobe
Acrobat 5.0, the Acrobat Distiller will be installed into every
application. To verify this, check that the Adobe icon,
is present on the main toolbar, or look for the Acrobat Distiller listed
under printer names in the print window.

Open the document (in it's original application) that you want to export
into PDF. |
| 2. |
There are several different ways to go about this. You can:

Select the Adobe Icon,
or
-
Select Acrobat; Covert to Adobe PDF, or
-
Select Print, change the printer's name to Acrobat Distiller,
and
select OK.

The Save PDF File As window will appear;

Change the highlighted file path to the destination for your PDF file.
For example, C:\My Docs\<file name>.pdf.

It may happen that you wish to distill a document that is already in PDF
format in order to change some document properties. In this case, you can
name your document C:\My Docs\<file name>.distilled.pdf.

The Acrobat Distiller will do it's work and your PDF document will
open as soon as the Distiller has finished printing. |
Unfortunately, the distiller can lose macros, formulas, or special properties
from the original document. For example, if the original document contains
links within the document, they can disappear during the distilling process.

Creating Links in a PDF Document
(Links Jumping Within the Document)
The original ESH document contains a link on the first page
to the table of contents, and several more links on the table of contents
page to pages of tables. To recreate these links you can follow these instructions:

In Adobe, Open your document and click on the links icon, ,
in the toolbar. |
| 2. |
The pointer becomes a cross hair (+) and any other existing links in
the document are temporarily visible. |
| 3. |
Click and drag the pointer to become a rectangle around the line where
you want a link to be.

A Create Link window will appear. In this window;

For Appearance Type, select Invisible Rectangle. This means
that the area that is clickable is not outlined with a visible box.

As well;

For Highlight, select Invert. This means when the link is
click the clickable area will invert it's colours for a brief moment.

For Action Type select Go To View. This allows you to select
a page within the document that the link will jump to.

For Magnification select Fit Width. This means that the linked
page will appear in
Fit Width format.

Now, you must select the page that you want your link to jump to.

Use the scroll bar to move to the correct page.

Alternatively, you can use the Next Page icon,
,
located on the main toolbar to move to that page.

Once you've done this, verify that this page number is written underneath
the Magnification Action in the Link Properties window.

Select Set Link.

Continue this way until you have created all the links you would like
to have in your PDF file. |

You can test if a link works properly by selecting the hand tool icon
on the toolbar, and then
clicking on the area where the links should exist. |

Save the file, and you’re done. |
